01 Overview

This Privacy Policy explains how Vector AI LLC collects, uses, and discloses information about you when you access or use our websites, applications, and services (collectively, the "Services"). This policy applies to all visitors, users, and others who access the Services. For the purposes of applicable data protection laws, Vector AI LLC is the "controller" for your account and usage data. When we process Customer Content on your behalf, we act as a "processor" or "service provider" as defined in our applicable agreements.

02 Definitions

  • "Personal Information" means any information relating to an identified or identifiable natural person.
  • "Customer Content" refers to the documents, files, and data you upload, connect, or generate through our Services.
  • "Services" means our websites, applications, AI agents, and associated infrastructure.
  • "Account" is the primary means for accessing and using the Services, subject to authentication.
  • "Subprocessors" are third-party service providers authorized to process data on our behalf.

03 Information We Collect

We collect various types of information to provide and improve our Services, including:

  • Account information: Name, email address, phone number, business name, and user role.

  • Customer Content: Documents, files, and data you upload, connect, or transmit via the Services.
  • Usage data: Feature usage, page views, and interaction timestamps.
  • Device/network data: IP addresses, browser types, and operating system details.

04 How We Use Information

We use the collected information for the following purposes:

  • Provide, operate, and maintain the Services.
  • Authentication, fraud prevention, and security monitoring.
  • Provide customer support and administrative communications.
  • Product improvement and analytics (using aggregate or limited data) to understand how our Services are used.
  • Legal compliance and enforcement of our Terms of Service.

05 Legal Bases

For users residing in the European Economic Area (EEA) or the United Kingdom (UK), we process your Personal Information under the following legal bases:

  • Contract: To fulfill our contractual obligations to you.
  • Legitimate interests: For security, service improvements, and preventing fraud.
  • Consent: Where required by law, such as for the use of certain cookies.
  • Legal obligation: To comply with applicable laws and regulations.

06 AI & Automated Processing

Our Services incorporate artificial intelligence and automated processing features. Outputs are generated based on the inputs and configurations you provide. Because AI systems are probabilistic, we do not guarantee the exactness or factual accuracy of the outputs. Users must carefully review and validate all outputs before relying on them for business decisions.

We do not use your private Customer Content to train global AI models for other customers. However, general usage signals may be used to improve the reliability, security, and performance of the Services.

07 How We Share Information

We may share your information in the following circumstances:

  • Service providers: Third parties that provide hosting, security, analytics, and communications infrastructure.
  • Subprocessors: Authorized vendors that process data to help us deliver the Services.
  • Legal requests: When required by law, subpoena, or valid legal process.
  • Business transfers: In connection with a merger, acquisition, or sale of assets.

We do not sell your personal information.

08 International Transfers

Your information may be processed in countries other than your own, depending on where our service providers and Subprocessors operate. When we transfer your data internationally, we implement reasonable safeguards, such as standard contractual protections, to ensure your information remains protected according to applicable data privacy laws.

09 Data Security

We implement reasonable technical and organizational measures to protect your data, including:

  • Strict access controls and role-based permissions.
  • Encryption of data in transit and at rest.
  • Continuous monitoring and system logging.
  • Formalized incident response procedures.

While we strive to protect your information, no system or network can be guaranteed to be 100% secure. You are responsible for maintaining the confidentiality of your Account credentials.

10 Data Retention

  • Account data: Retained while your Account is active, plus a reasonable period thereafter to facilitate reactivation or legal compliance.
  • Logs: Maintained for limited periods necessary for security, debugging, and operational monitoring.
  • Customer Content: Retained according to your configuration, the terms of your contract, or until you submit a valid deletion request.

11 Cookies & Tracking

We use tracking technologies to operate and improve our Services:

  • Essential cookies: Required for the core functionality of the Services, such as maintaining active sessions.
  • Analytics cookies: Used to understand usage patterns (where applicable and permitted).

You can disable non-essential cookies through your browser settings, though some features may not function properly.

Do Not Track: Because there is no standardized "Do Not Track" signal, our systems do not currently respond to these browser signals.

12 Your Rights & Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access, correction, deletion: You can request to view, update, or erase your data.
  • Objection/restriction (EEA/UK): You may object to or ask us to restrict the processing of your data.
  • Portability (EEA/UK): The right to receive your data in a structured, machine-readable format.
  • California rights: If applicable, you have the right to know what data we collect, request deletion, and opt out of the sale of personal information (note: we do not sell your personal information).

To exercise any of these rights, please email us at contact@vectorai.digital with "Privacy Request" in the subject line.

Our Services are not directed to, and we do not knowingly collect personal information from, children under the age of 13. If we become aware that we have collected personal data from a minor, we will take steps to delete that information.

14 Changes to this Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Effective Date" at the top of this document. We encourage you to review this policy periodically to stay informed about how we protect your information.
